What am I committing to if I come as a hosted buyer?
As a hosted buyer, you are committing to
- A minimum of 3 days to Business exploration with the Networking Partner
- Make yourself available for 8-10 pre-scheduled face-to-face meetings
- Join a Guided tour with your Networking Partner
How do I apply to be a Hosted Buyer?
It’s easy! Please familiarize yourself with the inclusions and expectations of the program, and then complete the application form.
I can’t stay for the whole program, can I still apply?
We strongly encourage participants to stay for the entire program; this is how you will get the most out of the program. If you cannot stay for the entire time, please complete the application, and indicate in the comments section of the application form which part of the program you may need to miss. We will contact you to discuss your requirements, note cost won’t change.
I’d prefer to book my own flight, will you cover my costs?
Because this is a Networking Partner based Program we are subsidizing Airfare and Hotels. Still to accommodate we have a formula to adjust / reimburse some expenses for participants If you’d like more details about the reimbursement formula, please contact us. We will be happy to accommodate your requests.
Can I bring a colleague?
Yes by all means the more the merrier; We encourage you to have your Group’s full meeting scheduled post filing the application so as to make trip lot more productive.
I have previously attended Hosted Buyer Program – can I participate again?
Our general rule of thumb is that a hosted buyer can only return every fourth year. This is to ensure that both the Hosted Buyer and Networking Partners are getting the best possible experience. If you have changed jobs, or if something about your program has changed significantly since the last time you attended Hosted buyer Program, please feel free to apply again and add your last trip details in the comment section so your application is considered favourably.

What is UA Hosted Buyer Program (HBP)?
It’s an UA Exim initiative wherein UA EXIM creates an ecosystem for BUYER’s who have not explored the Indian subcontinent as a Sourcing Destination as yet. Hosted Buyer Program (HBP) Eligibility Criteria
- Clients / Buyers who have not Explored Indian Subcontinent are invited to participate in this program.
- Buyers who have not had a great experience working in past but still see a potential in India are invited.
- Buyers / Designers for whom confidentiality is a key ingredient to establish, UA Exim created a wonderful opportunity to explore with no prior commitments to buy are invited to participate.
Where do I register for the Hosted Buyer Program (HBP)?

3 weeks prior to the scheduled dates– without exception.
How many applications do you accept?
We have a limited number of positions available for hosted buyers. Please do not delay your application or you risk missing out on attending; Write / Call us now to make the most of this Opportunity.
What happens if my application is unsuccessful?
If your application does not meet our assessment criteria, or you unsuccessful for other reasons, you will be notified and invited to register as a self-funded attendee.
How often is the Hosted Buyer Program (HBP) held?
HBP is scheduled Category wise on a Monthly basis; Check the calendar for the next due Program; Or write to us ( Mail@UAEXIM.Net ) and we will guide you on the same. A typical program is designed to accommodate a maximum of 10 are hosted each Month, Buyers with similar Category are invited in the same time period so as to make the trip efficient and advantageous for all stake holders participating in HBP.
Can I share my appointments with a colleague?
Yea we welcome 2 or more Business colleagues to plan their travel together; In fact there are additional benefits for Group Travellers and we encourage you to plan and call us to explore these opportunities.
Is Accommodation provided for Buyers?
Yes, hosted buyers will receive complimentary accommodation at a 4 Star hotel. Additional nights will be at the individual buyer’s personal expense.
Is breakfast at the hotel included for buyers?
Yes, a buffet breakfast in the hotel restaurant is included with accommodation. Any in-room dining, breakfasts, other meals or snacks, mini-bar etc., will be at your own expense and paid direct to the hotel.
Can I extend my stay?
Yes. You may extend your stay at your own expenses. Team UA Exim will be happy to assist you with this.
Can I choose the hotel where I’d like to stay?
No. the UA Exim team will allocate hotel based on your Categories of Interest and its vicinity to the Business Area. Your Networking Partner is an expert at this and trust him to workout low carbon footprint experience.
When will I be notified about my accommodation?
Buyers will be notified of their accommodation 1 week prior to Travel dates. We allocate accommodation once the applications have closed and we know exactly how many buyers are attending.
Are flights included for hosted buyers?
Flight costs are included for hosted buyers. Information with regard to flight routes will be provided once your hosted buyer application has been confirmed.

What if I have booked and I can no longer attend?
You must notify the hosted buyer manager immediately (see contact details below). There are penalties if you cancel post Booking of flights/ Hotels;

What is not included in the cost of attending as a hosted buyer?
- The below costs are not included in the hosted buyer programme:

HBP is a participatory based program wherein all stake holders who have an interest in doing business pool up resources. Each stakeholder pays a certain fee equivalent to the inputs and gain they expect of the program. This is not a Govt. funded Program. UA EXIM acts as a facilitator and is committed to creating an ecosystem that works in benefit of generating business opportunities for its Networking Partners.

Who will I meet at the Airport and How will I commute within the Country
UA EXIM will prior to your leaving your hometown send you a Detailed day-by day Itinerary; Detailing the assigned representative contact details; Your Hotels and cities of visit; Furthermore arrangements will be made for the Rep to meet you in the AIRPORT–MEET & GREET AREA. He will escort you to your Hotel. UA EXIM Team will also go over the weeks itinerary as drawn and shared to fine-tune the same.
Is there any Mandatory requirements during the trip
As your travel cost is hugely incentivised, it is expected of you to meet the Participating Networking Partners at least once during the trip. Ideally as per your Itinerary schedule.
Who all are part of the Stakeholder Ecosystem.
Networking Partners may include Sourcing Managers, Exporters, Solution Providers such as Logistic Companies; Tour Operators; Cargo Handlers; Payment platforms, Technical Support firms, Digital Agencies; and Others in similar Support capacities who will add value to your long-term needs.
What vaccinations do I need prior to visit to India?
Please refer to your Country Travel Advisory for detailed information on this. In general, when travelling overseas it is suggested to get vaccinated for flue and Malaria as they are still prevalent in Asian Countries.
What are the Covid protocols to visit India?

Can I meet Business Entities or People outside the Trip Agenda?
Yes. You are at free will to work with or without the Sourcing Manager / UA EXIM Member. However UA EXIM recommends working with someone who is under the UA EXIM watch, for better sense of security and representation in the country should you require it during the course of the business as transacted.
Can I stay back OR arrive earlier than the scheduled date of the trip?
Yes. You can come early as well OR extend your trip as needed. Simply inform the UA EXIM-HBP Organising team of your intent and dates. What is mandatory is your attendance on the 2 days of Business Meetings with all stake-holders of the ecosystem.
When will I know if I have been accepted to the Hosted Buyer program?
You will receive an email from the UA Exim - Hosted Buyer Team within one week of your completed application form. Our selection committee reviews all applications and if we require more information, we will contact you. There is generally a lot of interest in the program, so you may receive an email telling you that you’ve been placed on a waiting list. This is to give the vetting committee time to review all the applications.
Can I bring my spouse/partner, child, etc.?
You are welcome to bring a spouse or partner. Please keep in mind that any Hotel, Travel and or ground transportation for your spouse/partner will be at your own expense. Your schedule will include organized social events, dinners, and we will be happy to host him for such evenings.
Is there a dress code to adhere when going for business meetings or walking in the street?
Normal dress code is ok. Casual or formal is not important. However due to temperate weather conditions & when visiting factories it is best to be dressed moderately (avoid fashion forward dressing).
Is it safe to be on the streets or bars/pubs at late nights?
It is as safe as any other City on the Globe. One needs to be mindful of his/her surroundings and the company they are in.
Is English language commonly spoken in India?
Yes. English is the most common language & understood by most people on the street.
Can I change the flight that was booked for me?
It is recommended with flights and Hotels schedules booking quickly, it is best to secure your time definitively so that the need for changes is eliminated. Once your application has been approved, UA Exim HBP Team will contact you to find the most suitable time, routing and mode of transport possible. Due to partner agreements, we may not be able to accommodate all requests. Please contact us immediately if you anticipate any changes are required.
Can I stay at a different hotel?
All Hosted Buyers will be accommodated at our Host Hotel. In order to facilitate group activities and transportation to social events, no hotel substitution is possible.
Can I extend my stay?
Yes! And we fully know India as a country cannot be done justice within 7 Days; You can extend your stay at your own expense, UA Networking team will help you plan your stay and ensure full support during your extended period to your best benefit. Please do inform us of your intention to extend your stay as soon as possible, in writing, ideally before flight confirmations are issued.
What if I need to cancel my participation?
If you need to cancel your participation, please inform us as soon as possible via email. The cancellation will not be effective until you have received a written acknowledgement from us.
Cancellation Policy
If you need to cancel your participation, it must be received in writing, prior to flight bookings are done. There is a 2-week gap between the application approval and booking stage. Post booking cancellation will incur charges and penalties which will be invoiced to you (including non-refundable flights, accommodations, etc.) plus an administration fee of $100 will be invoiced which must be paid within 30 days.
Why do you apply a fee for cancellations?
Cancellations at times are inevitable, we know. And we also know that sometimes people over-commit and cancel at the last minute. A cancellation fee keeps us all accountable. This fee covers cancellation fees imposed by airlines and/or other transportation carriers plus administrative fees.
What will be my biggest takeaway from this program?
